What AI can actually do for a small business right now
Most articles about AI for business are written by people selling AI. This one is written by someone who sets it up for a living and turns down the jobs where it will not help.
Here are five jobs AI does reliably today for companies with 5 to 100 employees, what each one costs, and the two places it still fails.
1. Answering the same customer questions over and over
If your inbox has the same twenty questions on repeat, an AI assistant trained on your own documents can draft the replies. A person still hits send. That last part matters: the draft is right about 90 percent of the time, and the human catches the other 10 percent in seconds instead of writing every reply from scratch.
Typical cost: $20 to $60 per user per month. Typical saving: hours per week for whoever runs your inbox.
2. Turning meetings into notes and action items
Recording a call and getting an accurate summary with action items is a solved problem. The tools plug into Zoom, Teams, and Meet. Nobody types up minutes anymore, and follow-ups stop falling through the cracks.
Typical cost: $10 to $30 per user per month. Check your client contracts and local law on recording consent before you turn it on.
3. First drafts of anything written
Proposals, job ads, product descriptions, policy documents, difficult emails. AI produces a usable first draft in a minute. The person who used to spend an hour writing now spends ten minutes editing. The result reads like your company because a human finished it.
Typical cost: already included in the $20 per month chatbot subscription you have probably heard of.
4. Pulling answers out of your own documents
Contracts, manuals, past proposals, the folder nobody reads. Modern AI tools can search these by meaning, not keywords, and answer questions with page references. New staff stop interrupting senior staff to ask where things are.
Typical cost: $20 to $50 per user per month depending on the platform you already use.
5. Categorizing and routing things
Incoming email to the right person. Invoices to the right folder. Support tickets by urgency. Receipts to the right expense category. This is boring, and boring is where AI earns its keep, because it does not get tired of it in week two.
Typical cost: often free with automation tools you may already pay for.
Where it still fails
Two places, and they matter.
Facts it did not read. Ask an AI a question it has no source for and it may invent an answer that sounds confident. Never let AI state facts to customers without a human check or a hard source. This is why every setup we do keeps a person on the send button.
Judgment calls. Pricing, hiring, firing, anything legal, anything where the wrong answer costs real money. AI can summarize the inputs. The decision stays with you.
What this adds up to
A typical 20 person company adopting the first three items spends around $500 to $1,000 per month on tools and gets back somewhere between 15 and 40 staff hours per week. The math works even at the low end. The trick is picking the right three things for your business, which is a shorter conversation than most consultants make it.
